Privacy Policy
This policy explains what personal information TWA Studio collects, why, who we share it with, and the choices you have. It covers twa.studio, our client portal, and the services we deliver.
1. Who we are
TWA Studio is the operating name of Take Wing Artistry Inc., a British Columbia company at 3202 32 St, Vernon, BC V1T 5M6. Our services and billing run on the NiceApp.ai platform, so you may see that name on emails, invoices and card statements. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
2. Our privacy officer
Corryn Bamber, founder of TWA Studio, is responsible for how we handle personal information. Contact her at hello@twa.studio or by mail at the address above. We reply to privacy requests within 30 days, and usually much sooner.
3. Two roles we play
For visitors to twa.studio, people who contact us, and our own clients, we decide what is collected and why. This policy covers that information. For our clients' customers, for example the contacts, bookings, calls and messages inside a CRM, website or phone system we run for a client, we handle that information on our client's behalf and under their instructions. In that case the client's own privacy policy applies, and questions should go to them first. We will help them respond.
4. What we collect
Information you give us: your name, email, phone number, business name, website, city, the services you are interested in, your goals and anything else you type into our forms; booking details when you schedule a call; what you tell us in onboarding forms, emails, calls, texts and the client portal; files you upload to your client hub; and billing details when you pay.
Access you grant us: logins or manager access to your website, domain, hosting, Google Business Profile, Google Analytics, Search Console, Google Ads, Meta and social accounts, so we can do the work. We use that access only for your project and you can revoke it at any time.
Information collected automatically: when you visit twa.studio we collect your IP address, browser, device, pages viewed, how you arrived and how you interact with the page, through cookies and similar tools described in section 8.
Payment information: card and bank details are entered on, and held by, our payment processor Stripe. We see only the last four digits, the card type and payment status. We never store full card numbers.
5. How we use it
To reply to enquiries and book consultations; to deliver and support the services you buy, including SEO, website work, Google Business Profile management, advertising management, content, social media and CRM automation; to bill you and keep accurate records; to send service messages such as reminders, approvals, reports and invoices; to send our newsletter and marketing messages where you have agreed to them; to improve our website and services; to keep our systems and your accounts secure; and to meet our legal and tax obligations. We do not sell personal information.
6. Text messages and calls
If you give us your mobile number and tick the consent box on a form, we may text you about your enquiry, appointments and your account, and, where you have agreed, send occasional marketing messages. Message frequency varies and message and data rates may apply. Reply STOP to opt out at any time or HELP for help. Your consent is not a condition of buying anything. We do not share mobile numbers or SMS consent with third parties or affiliates for their own marketing. Calls to TWA Studio or to phone systems we run for clients may be answered by an automated assistant and may be recorded or transcribed to take messages and book appointments; the caller is told when this happens.
7. AI tools
We use AI tools to help draft content, summarize information and analyze performance data. We use business accounts whose terms do not allow the provider to train its models on what we put in. A person at TWA Studio reviews AI-assisted work before it is published or sent to you. We do not use AI tools to make decisions about you that have legal or similarly significant effects.
8. Cookies and analytics
twa.studio uses cookies and similar technologies to keep the site working, remember your choices, measure traffic with Google Analytics, and track form and booking conversions through our CRM's tracking code. If we run advertising, Google and Meta pixels may be used to measure results and show our ads to people who have visited the site. You can block or delete cookies in your browser settings, and opt out of Google Analytics with Google's browser add-on. Blocking cookies may stop some forms or booking tools from working.
9. Who we share it with
We share personal information only with service providers who help us run the business, and only what they need to do their job: NiceApp.ai, our in-house CRM and marketing platform, and the hosting providers it runs on, which host our website, forms, calendars, email, SMS, phone, client portal and invoicing; Stripe, for payments; Google Workspace and Google Drive, for email and client hub files; Notion, for project management; Slack, for internal reporting; SEO and analytics platforms including SearchAtlas, Google Analytics and Google Search Console; Canva, for design work; and AI providers as described in section 7. Each is bound by its own privacy and security commitments. We may also disclose information when the law requires it, to protect our rights or someone's safety, or as part of a sale or merger of the business, in which case this policy continues to apply.
10. Where your information is stored
Several of our service providers store data on servers in the United States and other countries. Information stored outside Canada is subject to the laws of that country and may be accessed by its courts, law enforcement and national security authorities. We choose providers with strong security practices and contracts that protect your information.
11. How long we keep it
Enquiries that do not become projects: up to two years from last contact, then deleted. Client records, agreements and invoices: seven years after the engagement ends, as required for tax purposes. Project files and client hub folders: for the life of the engagement and up to two years after, unless you ask us to delete them sooner. Newsletter and SMS contacts: until you unsubscribe, plus a suppression record so we do not message you again. Account access: removed when the engagement ends.
12. How we protect it
We use two-factor authentication on our business accounts, restrict access to the people who need it, store passwords in a password manager, and remove access to client accounts when a project ends. No system is completely secure. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.
13. Your rights and choices
You can ask to see the personal information we hold about you, correct it, or have it deleted where we are not legally required to keep it. You can withdraw consent to marketing at any time by clicking unsubscribe, replying STOP, or emailing us, without affecting the services you buy. To make a request, email hello@twa.studio with your name and what you would like. We may need to confirm your identity first. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
14. Children
Our website and services are for businesses and adults. We do not knowingly collect personal information from anyone under 19. If you think a child has given us information, contact us and we will delete it.
15. Other websites
Our site links to client websites, case studies, social networks and tools we do not control. Their privacy practices are their own, so please read their policies.
16. Changes to this policy
We update this policy when our services or the law change. The date at the top shows the current version. If a change affects how we use information you have already given us, we will tell you before it takes effect.
